We only ask for what we need to plan and capture your wedding, we never sell it, and you can ask us to see or delete it at any time.
This notice explains how Emotion Weddings Photo and Film (“we”), based in Beckenham, London, uses personal information. We are the data controller. Questions or requests: alexio@emotionweddings.co.uk or 07958 351 282.
What we collect
- When you enquire: your names, email, phone number, wedding date, venue, the events and coverage you are interested in, and anything you choose to tell us about your day.
- When you book a call: your name, contact details and the time you choose.
- When you sign up to our letters: your first name, email address and, if you give it, your wedding date. We send the letters only after you confirm your email, and every letter has a one-click unsubscribe link. We keep a record of when you agreed, and we note which letters are opened and which links are clicked, so we know what is useful and when a personal note from us might help. If you later enquire, we link the two so we do not send you both.
- When you chat with us on the site: the messages you type. Our chat assistant is powered by Anthropic’s Claude, which processes the conversation to answer you; it is not used to train their models.
- When you book us: the details in your contract and invoices, your schedule of the day, and the photographs and films we create.
- Technical information: our web host keeps standard server logs (such as IP address and browser) for security. To limit spam we keep a one-way hash of your IP address for a short time.
How we use it
To reply to your enquiry, send prices and a proposal, arrange calls, perform our contract with you, deliver your photographs and films, and keep the accounting records the law requires. Our lawful bases are taking steps at your request before a contract, performing the contract, our legal obligations, and our legitimate interest in running and protecting our business. We only share your wedding photographs or films publicly, in our portfolio or on social media, with your permission.
Who we share it with
Only the services that help us run the studio: our web host (SiteGround), our email provider, Anthropic (for the chat assistant), and, on the day, the photographers and filmmakers who work with us under the same confidentiality. Fonts are served by Adobe Fonts, and films play from Vimeo only when you press play. We never sell or rent your information.
How long we keep it
Enquiries that do not lead to a booking are deleted within two years. For couples who book, we keep contracts and invoices for six years for tax purposes, and we keep a backup of your photographs and films so we can help if you ever lose your copies; ask us at any time and we will delete them.
Your rights
Under UK data protection law you can ask to see the information we hold about you, correct it, delete it, restrict or object to how we use it, or receive a copy to take elsewhere. Email us and we will reply within one month. If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Cookies
We do not use advertising or tracking cookies. The site may set a small cookie needed for it to work, such as remembering a chat conversation during your visit.
